M-19 Identification and traceability

M-19 identification and traceability refers to regulation 16(1) and must be read in conjunction with regulations 5 and 6.

Purpose

(Organisation's name) will implement appropriate identification and traceability procedures to ensure all aspects of the project are clearly identifiable and traceable back to the individual projects.

Roles and responsibilities

  • (TBA)
    (TBA) is responsible for ensuring an appropriate identification and traceability system is developed and implemented.
  • (TBA)
    The (TBA) has responsibility and authority for carrying out quality audits and verifications for the functions performed.
  • All employees and contractors
    Each employee (and sub-contractor) has the day-to-day responsibility for ensuring all aspects of the building consent project are appropriately and uniquely identified, that is, making sure the all building consent documentation has been labelled with the building consent number and is therefore traceable back to the individual building consent.

Procedure

The organisation will state what its unique identification process is and how it ensures implementation.

1  Example

1.1  All building consent applications are allocated a unique ‘consent number’ that identifies the project throughout all stages of processing, inspection and approval.

1.2  The consent number is recorded within the property file, which holds all documents relating to the project.

1.3  Other unique identification features may also be used to trace project information such as:
owner’s or agent’s name

  • project site address
  • legal description
  • rural delivery number.
